What a gala or fundraiser needs
A gala is a dinner with a programme attached. That means round tables and dining chairs, linens and full tableware, a stage with a podium and sound for speeches or an auction, lighting that works for both a room full of diners and a speaker on stage, and usually a dance floor for afterwards. Bars and barbacks sit at the edges.
The programme drives the layout
Where a gala differs from a wedding is the running order. Speeches, awards and live auctions need clear sightlines from every table to the stage, and audio that reaches the back of the room without overwhelming the front. Place the stage first and lay the tables around it, rather than the other way round.
Fundraising elements are easy to forget
Silent auctions need display tables and lighting along a wall or in an adjacent room, positioned so guests pass them on the way in. Registration and check-out need their own tables near the entrance. These are easy to leave off an order and awkward to improvise on the night.
